What is the purpose of a Communications Plan? To clarify our agency’s goals and objectives: Think of the Communications Plan as your roadmap; you know where you want to go, but you need a route to get there. The plan is your route.

Will this Communications Plan replace all other practices and meetings we have been use to performing? Yes, this new plan will either refine and/or replace the communication channels that have been currently taking place at our agency. The plan contains all elements to equip you with the tools and techniques to perform and carry out your responsibilities and tasks all in one document.

Who should have access to the plan? Exposing the Communications Plan to your staff will help them get on the “same page and articulate a consistent message. People need to know what they will be contributing to the organization and what they are responsible for. A plan will help manage people and their responsibilities.

How do you know if the plan is working? It’s important to gauge its success and the areas in need of strengthening. Crossroads will do quarterly reviews to determine strengths, weaknesses, and obstacles and then create and implement new approaches if need be. 

Why are there so many communications activities? There are many different ways to spread our message. We’ve identified the ones that have been most successful and consistent at Crossroads. This will help you to settle on which activities you will engage in so that you aren’t continuously pulled in different directions.

When does this all go into effect? Currently, the HR Dept is in the process of offering training sessions to supervisors about the proper use and successful carryout of the plan. We are recommending employees start accessing the plan now and that it full goes into effect by August 1st.

How do you expect me as a manager to conduct meetings on a weekly basis especially with the number of staff I oversee? We understand that it may be challenging to gather all your employees together at one time, but it's something that must be accomplished. Perhaps at your very first weekly Team Meeting you ask your staff for their input on a time and day that would work best for the majority. Keep in mind that staff can call in or video conference all with the help of Skype Business.
